What sales call transcription is
Sales call transcription turns the conversations reps have with buyers, on video, on the phone and in person, into text that says who spoke and when, so what the buyer said can be searched, checked and reused after the call.
Any transcriber can turn audio into words. A sales team needs more from the same text: the rep and the buyer kept apart, your product and competitor names spelled right, phone calls next to video calls, and one search across every deal instead of one call at a time.
- 01
Who said it
Each line attributed to a speaker and a timestamp, so the buyer’s words never blur into the rep’s.
- 02
Where it happened
Video calls, dialer calls and meetings in a room, transcribed the same way and kept together.
- 03
What it becomes
A search across every call, answers with sources, CRM fields and context your AI assistant can read.
Most of what buyers say is in long calls.
We measured a year of recordings on Claap. Calls of 30 minutes or more are a quarter of recordings but 71% of the hours, which is why nobody reads a sales transcript end to end. You search it.

Three transcript problems buyers bring, and how to test for them
Each one comes from a recorded discovery call this year, names removed. Under each is a check you can run in any vendor’s trial, ours included, within a week.
01 · Good on one call, lost across many
“It’s much better [...] on an individual transcript. You can say, what was the objection on this call? But it’s harder across calls because it brings in too much.”
What it costs. A general note taker answers questions about one meeting. Pipeline questions span dozens of calls, and internal meetings drown out the sales ones.
How asking across calls worksTest it in your trial
Ask one question across your last 20 sales calls, for example every pricing objection. Each answer should point to the call and the moment it came from.
02 · Transcripts pasted into ChatGPT by hand
“It’s a bit manual right now because we are taking all the calls and give them to ChatGPT. [...] When we downloaded the script of the calls, we uploaded it to give it to ChatGPT.”
What it costs. Every download is a copy outside your permissions, and the analysis only covers the calls someone had time to export.
Claap MCP, in detailTest it in your trial
Connect the tool to Claude or ChatGPT on the first day, then ask about last week’s calls without downloading a single file.
03 · Other teams need the transcripts too
“If I have the transcripts across all the calls in a week, I can actually generate a report for the product team with everything that clients have mentioned about product.”
What it costs. What buyers ask for is product input. Locked inside one rep’s recordings, it never reaches the people who build.
From transcripts to conversation intelligenceTest it in your trial
Pull one week of transcripts into a report on product requests, without exporting call by call. Check that every line in the report links back to its call.
“We had no way, particularly with lots of different languages, of understanding how the script was working or what was landing with customers. It was all manual notes, so we couldn’t see what was happening across the organization.”
From the call to a transcript your team can use
Video, phone and the room, transcribed the same way
- Zoom, Google Meet and Teams calls are recorded from your own machine, or by a visible bot, then transcribed.
- Aircall, Ringover, Allo and lemlist VoIP calls are imported once your dialer records them, with the same transcript.
- Meetings in a room are recorded on the mobile app, and audio files you already have can be uploaded.

One inbox for the lot, whichever line it came in on.
Know who said what, in the buyer’s language
- Claap detects each speaker and lets you rename them, so the rep and the buyer never blur together.
- Transcribed in 99+ languages and split into chapters, so a call with a German buyer reads like any other.
- Add product, competitor and customer names to the glossary once, and future transcripts spell them right.

Find the sentence, not the recording
- Search every transcript in the workspace at once, for example each call where a buyer named a competitor.
- Ask ClaapAgent a question across meetings and deals: each answer cites the timestamped moment it came from.
- Comment on a line and tag your manager: the link opens the recording at that exact second.

Give Claude and ChatGPT your calls, not a download
- Connect Claude, ChatGPT or another assistant to your recordings and transcripts, with the same permissions you have in Claap.
- Ask about last quarter’s discovery calls without exporting a file. Private recordings stay out of the answers.
- For pipeline-wide questions, point the agent at a view of scored calls: it reads every call instead of sampling three.

Six things to check in any sales call transcription tool
Run these on your own calls, with your own product names and accents, not on the demo account. Ask them of us too.
Does it keep the rep and the buyer apart?
Test a call with three people on it. Every line should carry the right name, and you should be able to fix one that does not.
Does it spell your words right?
Product names, competitors, acronyms. Check whether you fix a misspelling once for every future call, or by hand on each transcript.
Does it cover your phone calls?
Many tools only join video calls. If your team dials, check that dialer calls get the same transcript in the same place.
Can you search across calls?
Searching inside one transcript is standard. Searching every call in the workspace at once is what answers a pipeline question.
Where does the transcript go next?
A copy-paste, a note in the CRM, typed CRM fields, or an AI assistant that can read it with your permissions?
Does it handle the languages you sell in?
Run one call per language your reps use. If managers read another language, check whether transcripts can be translated.
Sales call transcription, answered
What is sales call transcription?
It turns the calls reps have with buyers, on video, on the phone or in person, into text that says who spoke and when. A sales-grade tool also keeps the rep and the buyer apart, searches across every call and sends what was said to the CRM. Claap does all three, in 99+ languages.
How accurate is AI transcription on sales calls?
It depends on audio quality, accents and how much jargon your calls carry, so no single percentage holds for every team. Test on your own calls, with your product and competitor names. In Claap, you add a misspelled term to the glossary once and future transcripts spell it right, and you can correct any line by hand.
Can it tell the rep from the buyer?
Yes. Claap detects each speaker automatically and lets you rename or add speakers. Every line carries a speaker and a timestamp, and the speaker timeline shows each person’s talk time, so you can play only what the buyer said.
Which languages can sales calls be transcribed in?
Claap transcribes 99+ languages on Pro, Business and Enterprise, including English, French, German, Spanish, Italian, Dutch and Portuguese. On Business, transcripts, summaries and insights can also be translated into English, French, German, Italian, Portuguese or Spanish, for managers who read another language.
Does Claap transcribe phone calls as well as Zoom, Meet and Teams?
Yes. Calls from Aircall, Ringover, Allo and lemlist VoIP are imported once your dialer records them, from the Pro plan, and get the same transcript and summary as a video call. Claap does not record phone calls itself, so recording has to be on in the dialer.
Is a general note taker enough for sales calls?
For notes on one meeting, often yes. Sales teams usually need more: dialer calls next to video calls, one search across every deal, and what the buyer said written into CRM fields. Test those three in a trial; our buyer’s guide compares the tools.
How do I get transcripts into ChatGPT or Claude?
Connect the Claap MCP, included on every plan. Your assistant then reads your recordings and transcripts with your Claap permissions, so nothing is downloaded or pasted. For bulk exports to a data warehouse, the API is on Enterprise, and webhooks on Business send each new transcript as it arrives.
How much does sales call transcription cost on Claap?
Basic is free with 300 minutes of transcription in total. Pro is €24 per seat per month billed annually, with 1,000 minutes a month, 99+ languages and search across transcripts. Business, at €48, has unlimited minutes, CRM sync and translation. Transcripts never use AI credits.
