What an AI note taker is, and what a sales one adds
An AI note taker records a meeting, transcribes it and writes the notes for you: a summary, the decisions and the next steps. You run the conversation instead of typing it.
For a sales team, the summary is only half the job. The notes have to follow your sales process, add up across every call of a deal, and reach the CRM and the follow-up email. That is where most note takers stop.
- 01
Meeting notes
A summary and action items for any meeting. Zoom, Meet and Teams now ship their own assistants for this.
- 02
Sales notes
The same call written in your format: pains, budget, decision process, one section per MEDDIC letter.
- 03
Notes that do the admin
The answers fill the deal in your CRM and draft the follow-up email. This is what Claap is built for.
What sales teams want from their notes
Lines from recorded discovery and demo calls this year. Names removed.
“Making sure that we can capture all the meetings [...] if our customers are hosting the meetings themselves. [...] It just takes a transcript in notes, so it’s pretty good, but it’s not giving us a recording.”
Heard from · Sales leader, US compliance software companyWhy this hurts
Notes alone can’t be replayed. When the buyer’s exact words matter, a manager needs the moment, not a paraphrase of it.
“There’s 20 calls that are going to happen during a cycle, but I don’t want the last call to erase the 16 others. [...] So after five calls, I will have five lines in my notes.”
Heard from · Revenue team, AI software scale-upWhy this hurts
A deal runs over many calls. Each new summary should add to the deal’s history, not replace what the last one said.
“It would be also good to have a prepared template right after the call. [...] That follow-up email could be sent right after the meeting, with all the information. Like personalized, not just the generic that the team currently does.”
Heard from · Revenue team, European solar software companyWhy this hurts
A generic recap gets skimmed. A follow-up built from the buyer’s own points shows you were listening.
“I used to spend 15–20 minutes writing notes after every call. That doesn’t scale.”
From the call to notes your team uses
Notes written the way your team sells
- Write one section per thing you track, for example one per MEDDIC letter, each with its own prompt.
- Discovery, demo and negotiation calls each get their own template, so a demo recap never reads like a discovery note.
- Notes written the same way for every rep can be compared, which is what makes them useful in deal reviews.

Every call adds to the deal, nothing erases it
- Save the questions from your pipeline review as fields: next step, budget, competitor, decision makers, objection raised.
- Each field has its own sync mode: a new objection goes under the old ones, the next step is overwritten.
- Before the next meeting, reread four answers on the deal instead of a full transcript.

The follow-up email, drafted from what the buyer said
- Paste up to three emails you sent before, and the draft matches your own writing style.
- Set tone, length and language per template, so a demo held in French gets a follow-up in French.
- The draft opens in your own email client, ready to check and send the same day.

Type during the call, get it back clean
- Jot down the one thing you must not forget, such as a promised price, and let Claap write the rest.
- Each line is timestamped as you type, so you know when in the call it was said.
- Zoom, Meet and Teams calls are recorded without adding a participant, so the buyer sees no bot.

Six questions to pick an AI note taker for sales
The questions sales teams ended up asking on our calls. Ask them of every vendor, us included.
Does it cover every call?
Zoom, Meet, Teams, the phone and meetings where a bot is not welcome. A channel the note taker misses is a gap in the deal.
Are the notes in your format?
Generic minutes do not follow MEDDIC or your discovery questions. Check you can write your own sections per meeting type.
Do the notes add up across a deal?
Ask what happens on the fifth call: does the new summary add to the deal’s history, or replace it?
Where do the notes end up?
Notes that stay in the note taker get read once. Check which CRM fields fill on their own, and on which plan.
Can you check a note against the call?
A summary is a paraphrase. You should be able to open the recording and the transcript behind any line.
Can your AI tools read the notes?
Ask whether Claude or ChatGPT can query your calls through an MCP, so a question about last month’s deals needs no export.
AI note taker for sales, answered
What is an AI note taker?
An AI note taker records a meeting, transcribes it and writes the notes: a summary, key moments and next steps. A note taker for sales goes further: it writes the notes in your sales process, keeps the history of every call of a deal and sends the answers to your CRM. Claap is built for that second job.
How do I automate meeting notes for sales calls?
Connect your Google or Outlook calendar and set which meetings are recorded, for example external calls only. Claap records them, transcribes them and writes the notes after each call, then sends the recap to the people you choose. From Business, the same notes fill the deal in HubSpot, Salesforce, Pipedrive or Attio.
Is the note taker built into Zoom, Meet or Teams enough?
For internal meetings it often is. For sales, check three things: whether it covers your other channels, such as phone calls and meetings on a buyer’s platform; whether the notes follow your sales process; and whether they reach your CRM. Claap records Zoom, Meet, Teams, dialer calls and in-person meetings into one workspace.
Can I customize the AI meeting summaries?
Yes, from Pro. Use a ready-made template per meeting type, such as discovery, demo or negotiation, or write your own sections and prompts, for example one section per MEDDIC letter. Claap then writes every call of that type the same way, which makes notes comparable from one rep to the next.
Does Claap need a bot in the meeting?
No. The Chrome extension, on every plan, and the Mac desktop app, from Pro, record Zoom, Meet and Teams without adding a participant. If you prefer transparency, the meeting bot joins as a visible participant, on every plan. In-person meetings are recorded from the mobile app.
Do the notes sync to my CRM?
From Business, yes: Claap adds the summary, the recording link and the answers to your fields on the right contact, company and deal in HubSpot, Salesforce, Pipedrive or Attio. Each field can append or overwrite. Private recordings are not synced. Slack and Notion work on every plan, and AI follow-up emails start on Business.
How much does an AI note taker cost?
Claap Basic is free: 10 recordings per user and 300 transcription minutes in total. Pro is €24 per user per month billed yearly, with unlimited recordings, 1,000 minutes a month and summary templates. Business is €48 billed yearly, with unlimited minutes, CRM sync and AI follow-up emails. Teammates who only read notes can use free Basic licences.
What is the difference between an AI note taker and a sales call transcription assistant?
A transcription assistant gives you every word, with speakers and timestamps. A note taker turns those words into the summary, the next steps and the CRM fields. Claap does both on the same recording: read the notes after the call, search the transcript when you need the exact sentence.
Which languages are supported?
Claap transcribes 99+ languages on Pro, Business and Enterprise, including English, French, German, Spanish, Italian, Dutch and Portuguese, and writes the notes from that transcript. AI follow-up emails can be set to a language per template.
Is it legal to use an AI note taker on sales calls?
Recording laws vary by country, and many require every participant to know the call is recorded, so say it at the start of the call. With the meeting bot, the recorder is visible in the participant list. Claap is GDPR compliant, hosted in the EU and never trains AI models on your data. Check local rules with your legal team for regulated conversations.
