CRM hygiene is the ongoing work of keeping CRM data accurate, complete and current, so the reports, the forecast and the next rep on the account can trust it. It is a habit with owners and a cadence, not a one-off cleanup.
Most guides treat it as a contact problem. In a sales CRM there are two problems, and they need different tools.

Give every field an owner
A field nobody owns is a field nobody fixes. Name the team, or the tool, that answers for each one.
Require fields at stage exit, not creation
Ask for the champion when the deal leaves discovery, not when it is created. Early required fields get filled with “other”.
One source writes each field
If the dialer and the recorder both log the call, you get it twice. Decide which tool writes what.
Set an overwrite rule
Decide, field by field, whether a new call may replace a value, add to it, or leave it alone.
Look at quiet deals every week
Sort open deals by days since the last conversation. A stage with no recent call is a question for the rep.

What is CRM hygiene?
CRM hygiene is the ongoing practice of keeping the data in your CRM accurate, complete and current. It covers contact data, such as duplicates and old job titles, and deal data, such as stages, next steps and close dates. Done well, it is a weekly habit with clear owners, not a yearly cleanup.
What is the difference between CRM hygiene and data cleansing?
Data cleansing is a one-off fix: deduplicating, standardising formats and deleting bad records. CRM hygiene is the habit that stops the CRM getting dirty again, through owners, rules and a review cadence. A cleanse without hygiene is back where it started within months.
Why is our CRM data always out of date?
Because the most important deal facts come from conversations, and someone has to type them in afterwards. Reps skip it on busy days, batch it at the end of the week from memory, or paste a summary into a note no report can read. Contact data also decays as people change jobs.
How often should you clean your CRM?
Check deal data every week, before the pipeline review: quiet deals, missing next steps, close dates in the past. Run a contact dedupe and enrichment pass every quarter. If deal fields are written from every call, the weekly check gets much shorter.
Can AI keep a CRM clean?
For deal data, yes, if it writes typed values into your fields rather than a summary into a note.
